Are you looking for a meaningful part-time position where you can make a difference in people's lives? Join our team at Substance Abuse Treatment Center as an Evening Receptionist.
We are seeking a dedicated and compassionate individual to be the welcoming face of our center during the evening hours.
Key
Responsibilities:
Handling Front Office:
Provide administrative support to our clinical staff.
Manage the front office, including scheduling appointments for counselors and patients.
Answer external and internal calls, directing them to the appropriate extension.
Assist incoming patients with registration forms and explain the center's initiation process.
Verify clients' insurance eligibility and communicate co-pays and other payment details.
Perform data entry, filing, faxing, and copying tasks.
Remind clients of upcoming appointments and document phone calls.
Handle cash transactions from private pay clients and maintain cash records.
Assist with marketing efforts by reaching out to local medical offices for referrals and distributing promotional materials.
Conduct satisfaction surveys with discharged clients regarding our services.
Administration Duties:
Maintain accurate medical records for patients.
Manage various center records, including financial, purchasing, medical supplies, and accounting.
Maintain regular contact with referral sources.
Keep patient files organized and ready for site visits.
Collaborate with the Clinical Supervisor to ensure compliance with company policies, State, and DMHAS regulations.
Handle filing, database maintenance, and business correspondence.
Maintain strict confidentiality of all company information.
Report relevant political, financial, clinical, and liability issues to the President.
Ensure the cleanliness and safety of the facility, including conducting required inspections and drills.
Participate in internal and external committees and management team meetings.
Contact and remind clients of their appointments, collect outstanding balances, and handle billing tasks when necessary.
Help with outreach and marketing activities Other Skills Required:
Proficiency in operating computer, printer, copy and fax machines, calculator, and other office equipment.
Knowledge of database management, data entry, Excel, PowerPoint, Microsoft, and Internet usage.
Bi-lingual is a big plus
Qualifications:
Excellent computer skills and proficiency in office equipment operation.
Strong customer service skills and a friendly, welcoming demeanor.
Detail-oriented and organized with the ability to manage multiple tasks.
Previous administrative experience is a plus.
Sensitivity to the needs of individuals seeking substance abuse treatment.
High level of discretion and ability to maintain confidentiality.
